Job Description
Roles & Responsibilities
• Coordinate the compilation & strategic release of communications with various audiences i.e. clients, internal depts., service providers, vendors & consultants etc
• Assist in the smooth running of certain projects
• Work closely with senior management and taking their direction whilst adding value & also providing a sounding board for ‘idea validation’
• Prepare & disseminate PowerPoint presentations for various audiences
• Prepare & disseminate policy & procedure documents for various audiences
• Prepare & disseminate process flows & work stream presentations for various audiences
• Minute & note taking for Internal and external projects & management meetings & the subsequent dissemination of this material (post vetting)
• Follow-up on agreed deliverables with various parties
• Store, maintain, retrieve & effectively share / disseminate external & internal knowledge documents, artefacts & all comms. material
• Ensure employees are aware of changes to policies, projects & general updates & announcements within the company.
• Re-package & distribute executive messages, presentations and internal memos etc ,
• Co-ordinate meeting invitations
• Chair meetings
• Create / develop print materials & corporate branding for employee use, such as a new employee pack, employee handbook etc .
• Represent the location to stakeholders, interested parties, and the public.
• Develop and distribute materials that may explain or convey the company's policies or position on various market, compliance & regulatory issues.
• Schedule regular internal & external forums & interviews
• Create & distribute pre-meeting / workshop material / kits such as PPT decks, agendas, minutes & participant deliverables including follow-up to prescribed deadlines
• Perform a concierge / logistic service for location visitors
• Produce policy & procedure documents including process flows
• Create, modify communication scripts for internal & external audiences
• Own the delivery of ad-hoc strategic projects as determined by the head of location & senior management
• Be deployed as resource across the business when required
• Own the version control of communications templates & standards
• Define communication engagement frameworks for external, internal clients, stakeholders, service providers & vendors
• Assist in the ‘packaging’ & selling of changes within the organisation

• Have excellent communication skills and good organizational skills.
• Able to prioritise, multitask and use initiative.
• Advanced Powerpoint skills
• Extremely strong written and oral abilities.
• Capable of taking accurate, articulate & succinct notes.
• Having experience on MS Visio will be an added advantage.
• Display strong coordination skills across internal departments.
• Experience in dealing with top management and working as per their directions.
• Research and proofreading skills to ensure all materials are high quality and accurate
• Leadership skills are necessary for directing staff and overseeing projects.


• Bachelor’s Degree in Communications / Psychology / organizational psychology / Political Science / Marketing / Public Relations / Sociology etc.
• Advanced PowerPoint skills
• Experience dealing with Senior management & C- level management

• Highly effective multi-tasker
• Master of time management
• Ability to deliver to tight timelines
• Ability to express / articulate conversational topics into succinct process & procedural decks
• Ability to grasp organizational structure to ensure communications are written ‘to the identified audience’
• Can work both independently & autonomously as well as within a team structure
• Ability to operate in confidence on sensitive material & subjects
• Mature approach to work
