Reporting to the HR Manager. This role is responsible for:
To supervises GRO team in KSA and acts as the escalation point for the most complex GRO/immigration questions and issues.
To provide effective Administrative and GRO services for CSA across KSA.
To support Managers in the visa administration for their staff and themselves.
To be the main liaison between CSA in KSA and all Government agencies.
Providing support for specified employee mobility programs which may include expatriate management, employee relocation and/or immigration.
Assisting with the ongoing policy and process delivery and monitoring of company and legislative compliance.
Leads the coordination of defined mobility program elements with internal teams and third party service provider.
Addresses basic process inquiries and service provider issues.
Consults with managers, human resources and employees to ensure understanding of mobility support programs, policies and services.
Assists in the collection, consolidation and interpretation of reports and data analysis required for program and cost management and continuous improvement initiatives.
Maintains business process documentation ensuring ongoing accuracy and completeness.
Maintains internal compliance documentation required by the company and/or legislation.
Develops and maintains working relationships with business leaders and line human resources as a subject matter expert.
Develops working relationships with global payroll and various mobility service providers.
Assists with training for line human resources, employees and other key stakeholders on mobility processes.
Participates in initiatives to improve the overall effectiveness of mobility policies, processes and services.
Leads specified initiatives focused on delivery of performance excellence in mobility services.
Manages GRO/immigration teams in KSA and cases with outside legal service providers.
Acts as the escalation point for the most complex immigration questions and issues.
Provide reports to the HR Manager and Guide line managers in all aspects of visa processing.
Liaise with all government departments for all transactions of CSA and build an excellent rapport with all with all Government Offices and other external agencies.
Ensure compliance of processes in relation to all Government Relations Processes.
Keep informed and communicate of all changes in the Labour/Immigration and Saudization Law legislations.
Maintain close and strong partnership with third Party Vendors for the immigration outsourced processes.
Maintain timely Follow up on all company documents such as CR renewals, Saudization, GOSI, Tax etc.
Responsible for all Government Relations Procedures such as (Obtaining block visa, Change of Sponsorship, Issuance of new Iqamas, Renewal of Iqamas, Iqama Transfers, processing Visa documents, Exit Reentry Visa, Final Exit Visa etc.) Prepares the documents for the Iqama Renewals, Change of Sponsorship, Etc.
Assist employees with the visa processing of their direct dependents.
Responsibility for obtaining visas for business travel
Paying all government payment/fee using company account
Following up all traffic violation payment and clear it from company record
Communicate with all employees and their management for all government requests
Keeping all documents required by governmental agencies while processing them, and submitting them to concerned employee
Provide report on monthly basis for all government relation processes.
Communicating with Governmental entities to issue licenses and other related documents as required
Responsible for Nitaqat process (Saudization Percentage).
Coordinate with the Legal Advisor to attend the complex cases in Courts, Ministry of Commerce on behalf of company (if required)
Attestation of legal documents form chamber of commerce.
Process, forwards & Collects legal documents related Ministry of Labor and Immigration, Passport office, Airport, sea port, STC, Municipality, etc.
Arranges and prepares all necessary documents, copies, charts, and drawings to present to the government for approval.
Obtains approval from the relevant authorities and processes documents for new, re-hired, and terminated employees including issuance of labor guarantees, labor cards, health cards, and contracts.
Coordinates with appropriate agency for arrangement of labor inspections. Checks for anomalies in the labor list and provide appropriate information and documentation to rectify discrepancies.
Liaises with the appropriate authorities to obtain, renew, change, or cancel in part or full the activities on the trade license and company registration.
Employee Relocation Benefits - Familiar with the relocation benefits process. Understands who is eligible, and has experience answering questions from employees.
Expatriate Benefits Familiar with the expatriate programs, including policy design. Has experience answering basic questions from employees.
Immigration Law Possesses basic knowledge of the immigration documentation process and requirements for employment of foreign nationals and the legal right to work.
Communication Is able to effectively and clearly communicate in both written and verbal means.
Compensation Administration Possesses a basic knowledge of pay systems, merit pay structure and variable pay compensation structures.
Benefits Design and Administration Experience and general knowledge of various benefit programs. A resource for employee questions regarding benefit programs.
HR Data Management Understands Human Resources information requirements. Able to perform data quality reviews and take corrective actions to ensure data.
Education, Licenses, Certifications:
o College, university, or equivalent degree in Human Resource, Business or related field required.
o Good command of English
o 2-3 years GRO experience in a large organization.
o Experience of working in a multi-sited organization.
o Experience of working with a multi-cultural workforce.
