• Coordinate and setup high-level conference calls, board and management meetings, special events and travel arrangements for top executives and responsible for extensive travel arrangements and calendar management/meeting planning.
• Acting as liaison and maintaining open lines of communication among senior executives, board members, shareholders, middle management and administrative staff.
• Handling correspondences, proof read and edit contracts/NDA’s, company policies and other documents to ensure accuracy and consistency.
• Co-ordinating with Microsoft exchange for addition/deletion of email ID’s, resetting passwords and security compliances.
• Active working knowledge on Email, hardware & software security, system & email backup; storing at different localities and retrieval.
• Providing superior administrative support to Sr. Adviser, including document control, legal assistance, financial management, events/logistics coordination, communications & policy compliance, and problem resolution.
• Conducting extensive Internet research to accomplish the need of Senior Executives and maintain the database.
• Creating highly effective organizational and filing systems, including quick and thorough indexing, filing and offsite storage, resulting in easy access to critical information and streamlined office functioning.
• Handling confidential information such as employee’s personal files, company documents, list of clients, company seal, offer letters.
• Be able to talk English fluently while managing contract and price negotiations with office vendors, service providers, office lease, third party contractors, PRO companies in Europe, US and the MiddleEast etc.
• Assisting Sr. Adviser/Director with complex diary, calendar & travel management and special projects as needed.
• Initiating, coordinating and enforcing systems, policies and procedures.
• Preparation of weekly/monthly/quarterly reports and presentation highlighting business performance (E.g. MIS, miscellaneous presentation) as well as preparing presentation for senior leadership & stake holders review.
• Superior knowledge in written English and business correspondences.
• Managing facility staff supplies and office inventory.
• Must have previous working experience in fast-paced environment and under high pressure.
• Must be result oriented with a "can-do" attitude.
• Previous working experience with a UHNW private family office will be an added advantage.
