Job Description
Job Description:

• Answer, screen and forward incoming phone calls

• Greet and welcome guests as soon as they arrive at the office

• Provide basic and accurate information in-person and via phone/email

• Receive, sort and distribute daily mail/deliveries/couriers

• Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook)

• Ensure reception area is tidy and presentable, with all necessary stationery and material

• Order front office supplies and keep inventory of stock

• Update calendars and schedule meetings, including management of meeting rooms

• Acting as a first point of contact: dealing with correspondence and phone calls of CEO

• Preparation of quotations, order & invoice processing, delivery notes and associated processing

• Organising meetings and preparing agendas, pre-meeting briefings and minutes of the meeting

• Typing, compiling and preparing reports, presentations and correspondence

• Managing databases and filing systems

• Implementing and maintaining procedures/administrative systems

• Maintain confidentiality with regard to the information being processed, stored or accessed

Required skills/qualifications:

• Bachelor’s Degree / Diploma

• Minimum of 3 years of relevant work experience

• Customer service attitude

• Professional approach and appearance

• Excellent written and verbal communication skills in English.

• Proficiency in Microsoft Office Suite

• Hands-on experience with office equipment

• Ability to be resourceful and proactive when issues arise

• Excellent organizational skills

• Multitasking and time-management skills, with the ability to prioritize tasks

Desirable skills:

• Experience as medical sales coordinator processing invoices/delivery notes
