1.Maintain the General Manager’s calendar by setting, monitoring and confirming appointment.
2.Type and mail any of the General Manager’s official correspondences.
3.Conserve the General Manager’s time by reading, researching and routing correspondences; draft letters and documents.
4.Collect and analyze information; initiated telecommunication.
5.Remind the General Manager of schedules.
6.Control visitors entrance and contact with the managers in the Head Office.
7.Arrange activities and services by identifying and clarifying needs and desires; researching options, making reservations; and scheduling.
8.Process all correspondence that enters in the office such as letters and faxes, by either forwarding it or replying when appropriate.
9.Undertake typing of variety of material such as memoranda, reports, circulars from longhand or shorthand drafts and audio-dictation.
10.Submit materials to the General manager for review and signature.
11.Maintain and update a comprehensive filing system, includes such files as correspondence, reports, circulars, etc.
12.Ensure that issues are attended to promptly and efficiency, delivering good customer service at all times.
13.Responsible for maintaining the work place in order and clean and manage the waste management system.
14.Preserve loyalty and confidentiality of the assigned work.
15.Ensure that confidential official information is not revealed to anyone other than those specified to safeguard interests.
16.Perform related duties when assigned, such as obtaining photocopies, monitoring and replenishing the stock of office stationary.
17.Collect and bind (or arranging for) reports, operating fax machine and the likes as required.
18.Prepare reports and /or documentation in usable, understandable format for the General Manager.
19.Any Additional task assigned by Superior/Department’s Head.
