Job Description :
A well established Investment company requires a Head of Facility Management with minimum of 10 years managerial experience in a similar position.
Responsibilities
FM Service Providers:
  • Supervise day-to-day works of designated FM contractors
  • Ensure FM contractors perform services in accordance with KPIs set in contracts
  • Review monthly / ad-hoc invoices diligently to ensure services are provided in accordance with contracts
  • Ensure all FM works comply with statutory requirements
  • Sourcing and overseeing contracts and service providers for functions such as cleaning, parking, security and MEP

Departmental Reporting:
  • Provide monthly / quarterly reporting on Facility Management services summarising KPI, service providers performance and comparison to budgets
  • Regular HSE audits on FM services
  • Maintain a sound system of internal controls for the Facility Management department and lifecycle budgets, ensuring the efficient and effective management of and proper accounting for delegated financial resources

Financial capabilities:
  • Advising businesses on measures to improve the efficiency and cost-effectiveness of the facilities owned by the Group entities
  • Advising businesses on increasing energy efficiency and cost-effectiveness
  • Managing budgets

Day to day activities:
  • Dealing with emergencies as they arise
  • Ensuring that facilities meet compliance standards and government regulations
  • Overseeing any renovations, refurbishments and building projects
  • Supervising teams of staff across different divisions
  • Liaise with the Property Management Department to assist with tenant requirements (residential / retail / commercial)
  • Creation and maintenance of databases of Facility Management (including engineering drawings, policies and procedures etc etc) information
  • Drafting maintenance reports (when required)
  • Conducts and documents regular facilities inspections
  • Communicates workplace safety precautions to employees
  • Ensures that the Groups facilities are clean and maintained according to company policy and procedures
  • Review tenant fit out plans and supervise works in accordance with plans

Strategic planning:
  • Planning for the future by forecasting the facilitys upcoming needs and requirements
  • Create, maintain and update a preventative maintenance strategy at lowest asset level
