You will proactively integrate the retail ‘communicating & selling processes with the ‘supplying processes at store level. To support the strong alignment between supply and demand needed to secure agreed service level at lowest cost. To ensure an efficient logistics operation in the external warehouse and store.

. Live and share the IKEA values every day
. Bachelor of commerce /Equivalent
. 3-5 years of experience in Logistics, supply chain, warehousing and shipping line.
. Full control over the incoming containers by Sea / road to Ikea Oman, based on the supply set ups.
. Priority setting to enable fastest clearance and Grn in system to make the stock available for the store to sell.
. Check all out of stocks and low stocks, setting plans to take these containers / trucks first to make better availability for Oman Ikea store.
. Responsible for minimising local-local shortages in the store and securing that store stock is available for our customers.
. Give input to the GCC logistics manager regarding external warehouse logistic capacity requirements (space, equipment and people).
. Accountable for planning, organising and monitoring the store goods flow process from external warehouse to the IKEA store.
. Ensure the goods received to the external warehouse are physically checked for discrepancies and damages and are stored in the correct location in the warehouse. Subsequent claims are raised within 24 hours in casy system with relevant and clear pictures to prove such claims.
. Keep tract of all claims in excel format, follow up for credit notes and ensure disposal of goods based on the final claim discussions with Service office Logistics Manager.
. Responsible for securing all prerequisites are met in the external warehouse including people, tools, working methods and communication networks to contribute to an efficient range administration process in the external warehouse (space dimensioning, goods allocation).
. Contribute to optimising the total supply chain costs by monitoring and giving input to my partners, within the supplying process, based on the defined communication set up, regarding customer expectations and potentials (loading quality, arrival precision etc.).
. Manage all Imports to Oman for IKEA. Keep track of all import documentations and follow up with suppliers.
. Manage the external warehouse for Oman IKEA, plan the warehouse based on the needs for the external storage capacity. Manage the process flow in & out of the warehouse.
. Manage the containers from the time they are shipped from the suppliers or Distribution centres across the globe. Dealing with the shipping lines to get better cooperation for local clearance, manage clearance from port and customs. Manage the duty payments and coordinate /arrange transport to the warehouse or stores.
. Manage and agree with the store on the replenishment flow, timings for the order generation, picking in the external warehouse and delivery to the stores.
. Ensure all the containers are cleared from the port as per free time and the priority of the stores, (based on articles mostly needed and fast sellers). This is to ensure the store has quality stocks at all times throughout the trading hours.
. Coordinate with finance on all the imports/ claims and financial debits and credit notes from the supplier. Coordinate the monthly claims raised for damages / shortages/ excesses received in the containers from the suppliers.
. Manage all the incoming and outgoing loads to ensure maximum fill rate is ensured. Keep constant follow up to increase efficiency within the logistics area, which will enable to reduce cost for the business.
. Lead the Logistics and Goods flow department and work closely with the GCC Logistics Manager as well as the store commercial team to secure the highest goods availability for customers at all times at the lowest possible cost.
. Secure development and correct usage of long-term logistics capacity in the warehouse according to range frame. This includes space, equipment and people as a part of the total supply chain capacity.
. Good knowledge of customs / shipping line/ local authorities / approval processes.
. Good relation with local authorities and 3rd party warehouse company with whom we are connected.
. Standard operation knowledge of Logistics/ shipping/ warehousing / transportation.
. Securing store stock is available for customers in order to maximise sales.
. Optimising goods flow productivity to fulfil overall qualitative and quantitative goals.
. Securing an efficient goods flow by having a close cooperation with partners within the commercial team in the area of merchandising in order to sell more.
. Taking accountability for handling damages in the external warehouse and working with colleagues to identify the root cause of recurring damages and taking appropriate action to minimise the reoccurrence of these in future.
. Optimising the utilisation of existing logistic capacity in the external warehouse (space, equipment and people) and securing efficient goods flow, by ensuring all handling equipment is maintained to a high standard and functions effectively.
. Actively contributing to the creation of the external warehouse business plan and converting business plan goals into clear logistic actions within the goods flow area. Take responsibility for executing relevant actions within this plan.
. Monitoring and controlling the development and execution of agreed goods flow actions.
. Create, develop and oversee processes in coordination with GCC Logistics Manger. Ensure the, protocols and procedures are followed in full, ensuring compliance to IKEA principle SOPs.
. Ensure Ability to manage a high-volume and vibrant retail environment. Ability to make things happen with flexibility, speed and simplicity.
. Ability to create and translate a tactical plan into operational performance.
. Ability to build trust and communicate in a clear and targeted way with different people in various situations.
. Regular feedback from the teams and associates, coaching and guiding them to perform better resulting to organizational goal achievements.
. Analysing the results of the Customer Satisfaction Survey, Brand Capital, Voice.
. Reviews and using the insights gained from this to develop our business.
. Implementing agreed and decided global/national solutions, routines, working methods and tools.
. This covers all replenishment and warehousing activities and includes the use of common IT systems and techniques.
. Contributing to environmental, health and safety performance in my store and securing compliance with the group risk manual in the goods flow operations areas.
. Ensure team works proactively to optimise all goods flow operations in my store, contributing to the achievement of our goals within profit & loss.
. Ensure all containers are cleared and delivered to store or warehouse as per free time agreements.
. Coordinate with Pr&c for the related certificates and approvals.
. Ensure the claims are created and followed up without fail.
. Customer orders and store replenishments are on time every time.
. Ensure the goods flow actions support the achievement of the agreed goals.
. Set goals based on the global and agreed KPIs.
. Constantly monitor the performance against agreed goals, adapting and taking action accordingly.
. Ensure all goods flow initiatives grow our business and support the sustaining of long-term profitability.
. All direct deliveries from the warehouse outside the store, needs to be with prior approvals from SO and Finance.
. Control costs by working in a lean, simple, cost-conscious way using good examples and encouraging my team and my colleagues to discover even more effective ways of working.
. Support on the Budgeting plans based on the sales forecast and capacity needed to support the addition needs in the external warehouse.
. Be part of the store Logistics meetings and play active role in the store activity changes, which may lead to changes in process or load patterns from the external warehouse.
. Be part of the meetings with the Service office (when needed).
. Provide an inspiring and motivating direction for the co-workers and engage them fully in the tasks of becoming leaders in Life at Home and generating sales growth.
