Job Description

  • Responsible for Lease Agreements Process and Execution
  • Coordinate with marketing team to prepare/update Brand Presentations for Landlords
  • Responsible for Brands Registration to Landlord's portal
  • Manage the flow of all leases related documents.
  • Negotiate with the landlords on lease rates & terms and conditions
  • Process and follow up on all lease documents to ensure completion.
  • Coordinate with Finance to prepare payments and send reminders on the payment due dates
  • Coordinate with PRO on tenancy registration and renewals
  • Assist other department related to leasing/lease renewal of the property
  • Maintains files to ensure that documentation is always up to date.
  • For new properties, prepares various leasing supporting forms for managerial approval.
  • File lease agreement in physical and digital records and maintain tracking system/records
  • Conduct regular reviews and lease agreement audits
  • Maintains and updates lease master list for the group
  • Maintain and updates landlord details
  • Monitor lease expiry dates and notify concern teams on the renewal/termination
  • Maintain lease agreements templates for future use
  • Retrieve files as requested by management
  • Maintain confidentiality around sensitive information and terms of agreement
  • Coordinates with respective departments to get valid/renewed AMC & insurance for the branches to be shared with the landlord yearly
  • Coordinate with Project Management team on property handover
  • Coordinate with Landlords & Project Management for scheduling meeting
  • Attend meetings concerning leasing and or shop handover and prepare meeting minute. Follow through the actions with the respective departments and ensure that it's been actioned.
  • Maintain records of management approvals/comments with regards to leasing.
  • Establish and maintain good rapport with landlords, mall management, and building management team.
  • Always represent the company in the highest professional and ethical manner.
  • Coordinate all legal, finance and administration matters between departments.
  • Coordinate/clarify with legal on questionable lease terms & conditions.
